About the role
The Senior Administrative Assistant provides high‑level remote support to senior leaders and cross‑functional teams within a Corporate Real Estate organization. The role ensures smooth coordination of calendars, meetings, travel, expenses, and administrative operations across multiple time zones.
Key responsibilities
- Manage and optimize complex executive and team calendars across multiple time zones.
- Coordinate virtual meetings and conference calls, handling scheduling, logistics, agendas, materials, and follow‑up.
- Support team events, offsites, virtual gatherings, and departmental meetings.
- Prepare, format, and distribute presentations, reports, agendas, and meeting materials.
- Attend meetings to capture notes, document decisions, and track action items.
- Process high‑volume expense reports using Concur, ensuring policy‑compliant submission.
- Arrange travel itineraries for multiple leaders, managing complex scheduling logistics.
- Maintain organized digital filing systems and administrative documentation.
- Serve as a professional point of contact for internal and external stakeholders.
- Collaborate with other administrative professionals for cross‑functional support.
Required profile
- 3–5+ years of administrative experience supporting multiple senior leaders.
- Fluent English (C1 level).
- Experience in real estate, private equity, professional services, or related industry preferred.
- Exceptional organizational and time‑management abilities.
- High level of professionalism, discretion, and attention to detail.
Required skills
- Advanced proficiency in Microsoft Excel.
- Strong command of Microsoft Office Suite (Outlook, Word, PowerPoint).
- Experience with expense management tools such as Concur.
- Proficiency with virtual meeting platforms (Zoom, MS Teams).
- Familiarity with design tools like Canva (a plus).
- Ability to adopt AI‑enabled productivity tools (e.g., Microsoft Copilot).
