About the role
DOXA is looking for a highly organized Administrative Assistant to support its property portfolio operations remotely from Colombia. You will work with Colombian and international teams, handling documentation, data management, and stakeholder communication in a fast‑paced environment.
Key responsibilities
- Manage weekly deposit accounting and ensure timely mailing of checks.
- Communicate with staff via phone, Outlook, and Microsoft Teams.
- Create, store, and maintain documents on SharePoint.
- Analyze data for accuracy and prepare reports using Excel and Word.
- Provide administrative support to regional property supervisors, including processing rent payments and invoices.
- Coordinate onboarding of new properties and vendors, and assist with off‑boarding.
- Order office supplies, cover the reception desk when needed, and set up utility services for properties.
- Prepare monthly expense reports and format financial cover letters as directed.
Required profile
- High school graduate or any Bachelor’s degree in a related field.
- Minimum 2 years of experience as an Administrative Assistant.
- Advanced English proficiency (B2+ – C1).
- Experience in a multi‑client or property‑management environment is preferred.
- Strong organizational, oral and written communication, and analytical abilities.
