Bilingual Virtual Assistant (English/Spanish) Receptionist

About the role

We are seeking a bilingual medical virtual assistant to support an internal medicine practice remotely. The role involves extensive phone communication with patients in both English and Spanish, handling appointments, insurance verification, and administrative tasks.

Key responsibilities

• Manage inbound and outbound calls with patients, pharmacies, and payer offices, providing appointment reminders, rescheduling, and follow‑up support.
• Coordinate patient scheduling, maintain provider calendars, and handle cancellations, wait‑list management, and pre‑visit outreach.
• Verify insurance eligibility, copays, and prior authorizations, documenting results in the EMR and escalating issues as needed.
• Support referral processing, track authorization statuses, and collaborate with payer and provider offices to avoid delays.
• Maintain accurate, HIPAA‑compliant documentation and assist with daily administrative workflows such as inbox management and task tracking.

Required profile

• Fluent verbal and written communication in both English and Spanish.
• Confident and professional phone demeanor, especially with elderly or complex cases.
• Highly organized, detail‑oriented, and able to manage multiple tasks independently.
• Reliable remote work setup with computer, headset, and stable internet connection.

Required skills

• Experience with EMR/EHR systems.
• Knowledge of HIPAA compliance and patient‑privacy workflows.
• Ability to verify insurance benefits and handle prior authorizations.
