Patient Coordinator & Marketing Assistant

About the role

The position combines client acquisition for a high‑growth mental health practice with management of the founder’s social‑media content. You will be the first point of contact for prospective patients, qualifying leads, securing appointments, and handling video content during downtime.

Key responsibilities

• Conduct high‑empathy discovery calls, qualify inbound leads and close consultation appointments.
• Edit and upload video content to Facebook and Instagram, add captions and engage online audiences.
• Manage a pipeline of 120‑130 leads per month using GoHighLevel (CC360) and email.
• Collect consultation deposits and session fees upfront, enforce booking protocols.
• Schedule providers, transfer intake records to the EMR system, and run no‑show mitigation workflows.

Required profile

• 2‑3 years of sales closing, high‑touch intake or consultative business development experience.
• Strong emotional intelligence paired with a “hungry” sales mentality.
• Neutral English accent suitable for US‑based clients.

Required skills

• Proficiency with GoHighLevel (or similar CRM) for pipeline management.
• Basic video editing and social‑media publishing skills.
• Experience with EMR systems and knowledge of HIPAA compliance.
