Patient Coordinator / Practice Manager (Mental Health)

About the role

The Practice Manager / New Patient Coordinator is the first point of contact for individuals seeking mental‑health support at a fast‑growing private practice. You will guide prospects through the discovery phase, qualify their needs, and help them understand the practice’s evidence‑based treatment model.

Key responsibilities

• Manage a pipeline of 120‑130 inbound leads per month via phone, email, and the GoHighLevel CRM.
• Respond to inquiries promptly to ensure zero lag time for patients seeking care.
• Conduct high‑empathy discovery calls to qualify prospects and explain the practice’s therapeutic approach.
• Assist patients with clinical intake forms and financial commitments.
• Meet weekly operational targets of at least 10 successfully attended consultations.

Required profile

• Excellent spoken and written English; the entire shift is conducted in English.
• Strong emotional intelligence and ability to handle sensitive conversations.
• Detail‑oriented with a focus on operational accountability.
• Ability to work full‑time, Monday‑Friday, 9 am‑6 pm EST.

Required skills

• Experience using GoHighLevel (or similar CRM) for lead management.
