Practice Manager / New Patient Coordinator

About the role

The Practice Manager / New Patient Coordinator is the first point of contact for individuals seeking mental‑health support. You will guide prospects through the discovery phase of a structured, evidence‑based care model, ensuring they feel heard, informed, and ready to begin treatment.

Key responsibilities

• Manage a pipeline of 120‑130 inbound leads per month via phone, email, and the GoHighLevel CRM.
• Respond promptly to inquiries to maintain zero lag time for patients seeking immediate care.
• Qualify leads, explain the practice’s therapeutic approach, and outline financial commitments.
• Facilitate clinical intake, schedule initial consultations, and track progress toward weekly targets of 10 successfully attended consultations.
• Maintain accurate records in the CRM and provide regular performance reports.

Required profile

• Fluent English with excellent verbal and written communication skills.
• High emotional intelligence and the ability to handle sensitive, crisis‑related conversations.
• Strong organizational skills and accountability for meeting operational targets.
• Experience in a customer‑facing or intake role within a healthcare or mental‑health setting is preferred.

Required skills

• Proficiency with GoHighLevel (or similar CRM) for lead management.
