Strategic Meeting Planning Specialist

About the role

Medtronic, a global healthcare technology company, is looking for a Strategic Meeting Planning Specialist in Bogota. The specialist plans and organises internal and external business and sales-related meetings, such as leadership summits, national sales meetings, medical education events, symposiums, conferences and programme events, working with stakeholders to align them with strategic direction.

Key responsibilities

• Plan and organise business and sales meetings, defining objectives, outcomes, audience and content coordination, and applying creative engagement techniques
• Manage budgets and billing: track budgets, identify cost savings, reconcile master bills, coordinate vendor payments and manage meeting expenses
• Source, negotiate and coordinate hotels and ancillary services, including contractors, vendors and onsite staff, and handle logistics such as space set-up, food and beverage, transport arrangements and visa/passport clearances
• Select, book and coordinate AV, production and auxiliary technical services, such as mobile apps, AR/VR applications and audience response systems
• Support the attendee experience through registration site design, event promotion, communications and attendee management (accommodations, session RSVPs, travel manifests)
• Provide onsite event support, including possible weekend coverage, to manage vendors and venues, oversee setup and execution, and troubleshoot issues in real time; remote availability on weekends may also be requested
• Generate and present event-level and cross-event reporting against key meeting metrics

Required profile

• High school diploma or equivalent with 4+ years of relevant meeting or event planning experience, or an Associate's degree with 2+ years, or a Baccalaureate degree with 1+ year of experience
• Familiarity with Cvent is a plus
