Air Import Operations Coordinator

About the role

An Air Import Operations Coordinator is needed, with 1-3 years of experience in international freight forwarding or 3PL operations. The role manages air import files from pre-alert acceptance through broker hand-off, shipment coordination, billing and file closure.

Key responsibilities

• Review and accept confirmed air import pre-alerts in TMF, making sure shipments belong to the assigned station.
• Register accepted files in the shared Air Import Files tracker, including MAWB, HAWB, ETA, pieces, weight, Incoterm and arrival information.
• Validate and update ETAs using airline Track & Trace and cargo tracking portals.
• Identify airlines by MAWB prefix and coordinate shipment information with the right contacts.
• Process airline import service charges through SprintPay (CargoSprint) and record billing in TMF.
• Coordinate warehouse transfers with nominated truckers.
• Prepare airline release letters and send pre-alerts to customs brokers with the required documents.
• Coordinate document turnover with brokers and keep accurate shipment records.
• Keep TMF milestones updated and follow each file through billing and final closure.

Required profile

• 1-3 years of experience in international freight forwarding, 3PL or air import operations.
• Hands-on experience with air import documentation such as MAWB, HAWB, arrival notices, commercial invoices, packing lists, manifests and airline release letters.
• Experience coordinating with customs brokers, airlines, carriers and ground transport providers.
• Professional or technical degree in International Business, Foreign Trade, Logistics, Supply Chain or a related field preferred.
• B2-C1 English proficiency.

Required skills

• Working knowledge of TMF, including pre-alerts, eDocuments, billing and milestones.
• Track & Trace and airline cargo tracking portals.
• Familiarity with airline import service charges and SprintPay (CargoSprint) preferred.
• Excel, Outlook and Teams.
• Strong attention to detail, organization and ability to manage multiple files.
