Executive Assistant to Agency Owner (Remote)

About the role

We are looking for a proactive, emotionally intelligent Executive Assistant to partner directly with the owner of a US‑based remote web development agency. The role blends high‑trust personal support with operational coordination, ensuring the founder’s professional and personal life runs smoothly.

Key responsibilities

• Manage the owner’s personal and professional calendars, schedule appointments, family events, and travel arrangements.
• Serve as the primary gatekeeper for email, triaging messages, prioritising urgent client communications, and maintaining clear communication channels.
• Coordinate task routing to internal technical and creative teams, keeping projects on track when the owner is unavailable.
• Handle company and personal credit‑card transactions, track minor accounting details, and execute sensitive purchases with integrity.
• Interact directly with US‑based clients via email and phone, providing updates and handling inquiries professionally.
• Support the owner’s family schedule and personal requirements with the same level of care as business matters.

Required profile

• 4‑5+ years of experience as an Executive Assistant or senior Operations Support for US CEOs or founders.
• Familiarity with digital marketing, web development, or technical agency environments.
• Excellent written and spoken English.
• High level of discretion, trustworthiness, and ability to manage sensitive information.
• Strong organisational skills and ability to build long‑term working relationships.
