Facilities Project Manager

About the role

Heirloom is seeking a remote Facilities Project Manager to lead Capital Expenditure (CapEx) projects across its growing portfolio of luxury short‑term rental properties. You will own the full project lifecycle, from initial scoping with maintenance teams to vendor coordination, execution oversight, and final closeout.

Key responsibilities

• Define project scope, budget and schedule for renovations and upgrades across multiple markets.
• Coordinate with maintenance technicians, operations managers and third‑party contractors.
• Review specifications, challenge unreasonable bids and flag potential issues early.
• Oversee remote execution, conduct site visits for kick‑offs, assessments and quality inspections.
• Manage procurement workflows, purchase orders and budget tracking.
• Provide data‑driven reporting to support operational decisions.

Required profile

• 3+ years of facilities coordination or project management experience in property management, hospitality or real estate.
• Proven track record managing CapEx or construction/renovation projects remotely.
• Strong vendor management and negotiation skills.
• Excellent organizational abilities and capacity to handle multiple projects simultaneously.
• Fluent written and verbal English; comfortable communicating across time zones.
• Self‑motivated, detail‑oriented and able to work independently.
• Willingness to travel to U.S. markets as needed.
