About the role

The Practice Manager / New Patient Coordinator is the first point of contact for individuals seeking mental‑health support at a fast‑growing private practice. You will guide prospects through the discovery phase, qualify their needs, and ensure a smooth transition into clinical care while maintaining a high‑trust, empathetic experience.

Key responsibilities

• Manage a pipeline of 120‑130 inbound leads per month via phone, email, and the GoHighLevel CRM.
• Respond to inquiries instantly to eliminate wait times for patients in crisis.
• Conduct high‑EQ discovery calls to qualify prospects and explain the practice’s evidence‑based approach.
• Schedule initial consultations, collect necessary intake information, and confirm financial commitments.
• Maintain accurate records in the CRM and ensure compliance with privacy standards.
• Track performance metrics and meet the target of 10 successfully attended consultations per week.

Required profile

• Fluent English with the ability to communicate exclusively in English throughout the shift.
• Exceptional emotional intelligence and empathy for individuals experiencing trauma, grief, or relationship crises.
• Strong organizational skills and accountability for meeting operational targets.
• Ability to work Monday‑Friday, 9:00 am‑6:00 pm EST.

Required skills

• Experience handling high‑volume inbound communications via phone and email.
