Project Management Specialist

About the role

As a Project Management Specialist at Gallagher, you will plan, lead, and deliver transition and improvement projects across regions and functions. You will ensure work moves forward efficiently, teams stay aligned, and new ways of working are adopted throughout the organization.

Key responsibilities

• Lead projects from initiation to close, defining clear scope, schedule, quality standards and measurable results.
• Develop and maintain detailed project plans with milestones, dependencies, risks, actions and success criteria.
• Coordinate cross‑functional teams across countries and seniority levels to drive alignment and timely decision‑making.
• Run governance meetings, track commitments, and follow up on next steps.
• Provide regular status updates, dashboards and executive‑ready reports.
• Identify, assess and mitigate risks, issues, scope changes and blockers early.
• Maintain accurate, up‑to‑date project documentation that is easy to use.
• Support change adoption through communication, training and feedback loops.
• Collaborate with operations, technology, quality, HR, finance, process excellence and internal client teams.
• Identify opportunities to simplify, standardise and automate processes.

Required profile

• 5+ years of experience in project management or coordination.
• English proficiency at B2‑C1 level.
• Bachelor’s degree in business, engineering or a related field, or equivalent experience.
• Strong collaboration skills across diverse teams and locations.
• Experience with Agile methodologies and Lean or other continuous‑improvement approaches.
• Confidence handling risks, issues and change management.

Required skills

• Advanced Excel, PowerPoint, SharePoint, Planner and Microsoft Project.
• Proficiency with Agile and Lean tools and techniques.
• Familiarity with workflow automation, reporting and project‑tracking tools.
• Project‑management certifications such as PMP, CAPM, Scrum Master (preferred but not mandatory).
