Remote Executive Assistant (Costa Rica or Colombia)

About the role

We are partnering with the founder/CEO of a boutique coaching and advisory practice to find a trusted Remote Executive Assistant. This full‑time role supports senior executives and private‑equity‑backed leadership teams, handling both professional and personal logistics with a high degree of autonomy.

Key responsibilities

• Own and manage a high‑touch calendar, protecting time, planning ahead, and resolving conflicts.
• Act as “traffic control” for a fast‑moving schedule of senior executives and CEOs.
• Prepare client‑facing materials: bios, background briefs, and pre‑read summaries.
• Manage the executive’s inbox and draft polished communications.
• Coordinate travel arrangements, itineraries, and logistics.
• Support off‑site preparation, including agendas, slides, surveys, and participant materials.
• Track follow‑ups, maintain workflows, and ensure nothing slips.
• Handle personal logistics such as appointments, household matters, healthcare reimbursements, and reservations.
• Assist with light business admin tasks: proposals, contracts, invoicing inputs, and expense reports.

Required profile

• Strong English proficiency, both written and verbal.
• Proven experience supporting a founder, executive, or senior professional.
• Highly organized with exceptional attention to detail.
• Proactive mindset, always thinking several steps ahead.
• Comfortable working in a high‑trust, fully remote environment.

Required skills

• Google Workspace (Gmail, Calendar, Drive, Docs, Sheets).
• Advanced spreadsheet skills.
• Outlook.
• Familiarity with Claude or other AI tools.
• Canva and/or Google Slides for presentation materials.

What we offer

• Monthly salary between $2,200 and $3,000 USD.
