Virtual Executive Assistant – Remote (Latin America)

About the role

Viva is seeking a proactive Virtual Executive Assistant to support a senior executive at a fast‑growing startup. This fully remote position serves leaders across Mexico, Colombia, Ecuador, Costa Rica, Honduras, Guatemala, El Salvador, and Nicaragua, providing high‑level administrative and operational support.

Key responsibilities

• Manage the executive’s calendar, inbox, travel arrangements, expense reporting, and event planning.
• Coordinate meetings, prepare agendas, and take accurate minutes.
• Streamline workflows, generate reports, and maintain SOPs and documentation.
• Assist with data analysis, project tracking, and internal coordination across teams.

Required profile

• Minimum 2 years in a leadership or supervisory role such as Supervisor, Team Lead, Operations Manager, Quality Lead, Trainer, or Account Manager.
• Strong written and spoken English (C1 level).
• Demonstrated ability to work independently, prioritize tasks, and thrive in a fast‑paced environment.

Required skills

• Proficiency with Google Workspace.
• Experience using Slack for communication.
• Familiarity with Notion for documentation and project management.
• Interest in leveraging AI tools to improve productivity.

• Base salary of $1,200 USD/month, up to $1,600 USD/month total.
