Part-Time Operations & Payroll Coordinator

About the role

We are seeking a Part‑Time Operations & Payroll Coordinator to serve as the operational backbone for a veteran‑focused evaluation service. You will ensure smooth communication, accurate documentation, and timely payments throughout the client journey.

Key responsibilities

• Contact veterans via phone, email, and text to gather required records and service documents before appointments.
• Send reminders, track document requests, and flag missing items for the clinical team.
• Maintain up‑to‑date case files in the management system and submit completed files to clinicians.
• Handle rescheduling requests, send appointment confirmations and preparation instructions.
• Monitor the scheduling pipeline, alert leadership to bottlenecks, and support invoicing and payment processing.

Required profile

• Highly organized, detail‑oriented, and able to manage multiple tasks simultaneously.
• People‑oriented with strong empathy for veteran clients.
• Excellent written and verbal communication skills in English.
• Residency in Latin America and ability to submit an English CV.
