Administrative Assistant - Purchasing & Vendor Relations

About the role

We are looking for a proactive Administrative Assistant to support purchasing and vendor relations for a fast‑growing residential construction company. Based remotely in Bogotá, you will act as the bridge between our US‑based office, vendors and field teams, ensuring materials arrive on time and at the best price.

Key responsibilities

• Support the Construction Project Manager by requesting bids, selecting materials, and issuing purchase orders.
• Coordinate directly with vendors, suppliers, and subcontractors via email and phone to guarantee timely deliveries.
• Maintain and update project schedules, material delivery trackers, and bidding logs.
• Follow up aggressively on back‑ordered items or delayed shipments to keep construction on schedule.
• File and organize permits, vendor contracts, insurance certificates, and lien releases.

Required profile

• Highly organized, detail‑focused natural coordinator.
• Fluent in written and spoken English; comfortable speaking with US‑based vendors.
• Enjoys negotiating, tracking materials, and comparing bids.
• Quick learner of new software and project‑management tools.
• Background in purchasing, procurement, or vendor management with strong multitasking abilities.
• Comfortable tracking data in Excel or Google Sheets and solving logistics challenges.
