Administrative Coordinator – Commercial Area

About the role

The Administrative Coordinator for the commercial area will manage and organize records, reservations, and catering event documentation, ensuring smooth coordination between operational departments at Four Seasons Cartagena.

Key responsibilities

• Manage and update reservations and events in the Golden Sales & Catering system, including creating BEOs, blocking rooms, and conducting audits.
• Maintain organized sales and event reports, providing daily and monthly tracking for closures.
• Coordinate communication and documentation between catering and operational teams, distributing menus, quotes, contracts, and correspondence.
• Support event organization and follow‑up, handling invitations, confirmations, and group status control.
• Perform administrative tasks such as invoicing, inventory management, client service, and presentation coordination while upholding Four Seasons standards.

Required profile

• Professional or technologist degree in Business Administration, Economics, Tourism & Hotel Management, International Business, or Social Communication.
• Minimum 1 year experience as administrative assistant, sales coordinator, or executive assistant.
• Intermediate‑advanced proficiency with Microsoft Office.
• Intermediate‑advanced English language skills.
