Bid Coordinator – Site Improvement

About the role

You will be the engine behind winning construction projects, driving fast and reliable bid coverage across multiple U.S. markets. The role focuses on connecting the right subcontractors to the right scopes so Project Managers can make confident award decisions, without any negotiating.

Key responsibilities

• Run bid coverage for 8–15 active site‑improvement projects simultaneously.
• Source, qualify, and outreach to subcontractors nationwide, achieving at least two bids per scope within a 12‑day cycle.
• Track vendor intent, availability, and constraints, escalating early when coverage is at risk.
• Review proposals for scope alignment, request clarifications, and maintain clean Smartsheet logs.
• Confirm vendor compliance (license, insurance, workers’ comp) and perform OSHA Establishment Search checks.
• Deliver concise summary emails to Project Managers outlining coverage status and any flags.

Required profile

• Strong spoken and written English for calls, emails, and texts.
• Experience in construction procurement or bid coordination (preferred).
• Relentless follow‑up discipline and comfort with vendor outreach.
• Ability to manage multiple deadlines without missing details.

Required skills

• High‑level Smartsheet skills and data hygiene.
