Bilingual Virtual Assistant (English/Spanish) Receptionist

About the role

We are seeking a bilingual (English/Spanish) virtual assistant to support an internal medicine practice remotely. The role involves direct phone interaction with patients, appointment coordination, and handling insurance and administrative tasks.

Key responsibilities

• Manage inbound and outbound calls with patients, pharmacies, and payer offices in both English and Spanish.
• Schedule new and existing patient appointments, handle cancellations, reschedules, and maintain provider calendars.
• Verify patient insurance eligibility, copays, and prior authorizations, documenting results in the EMR.
• Process referrals, track prior authorization status, and follow up on pending items.
• Maintain accurate documentation, manage inboxes, task queues, and ensure HIPAA‑compliant handling of patient information.

Required profile

• Excellent verbal and written communication in English and Spanish.
• Confident and professional phone presence with experience in patient‑facing or customer‑service roles.
• Highly organized, detail‑oriented, and able to work independently.
• Reliable remote work setup with computer, headset, and stable internet.

Required skills

• HIPAA knowledge or experience with HIPAA‑compliant workflows.
• Familiarity with EMR/EHR systems.
