Compliance and Licensing Coordinator

About the role

Heirloom is seeking a senior‑level Compliance and Licensing Coordinator to manage high‑risk regulatory deliverables across multiple jurisdictions. The role operates with autonomy, ensuring legal compliance, operational continuity, and market access for our luxury short‑term rental business.

Key responsibilities

• Own end‑to‑end case strategy for incident reports, regulatory inquiries, enforcement actions, and payment disputes.
• Lead complex licensing initiatives, including new applications, renewals, amendments, and jurisdictional expansions.
• Maintain and improve internal licensing databases and compliance tracking systems.
• Monitor code enforcement activity, identify emerging risks, and drive timely resolutions.
• Partner with internal legal counsel on escalated matters, preparing documentation packages and fact summaries.
• Conduct audits of policy enforcement and lead corrective action initiatives.
• Develop standardized documentation processes and case tracking methodologies.
• Coordinate cross‑functional teams to align on regulatory requirements and deadlines.

Required profile

• 3‑5 years experience in a paralegal or similar administrative support role for a U.S. company.
• 3+ years experience supporting form filling and application submission for official licenses and permits.
• Fluent command of English with excellent written and verbal communication skills (writing sample required).
• Meticulously organized and detail‑oriented.
• Experience with real estate law, land use, and zoning is strongly preferred but not required.
