About the role

The Administrative Coordinator for the Commercial Area will manage and organize records, reservations, and catering event documentation, ensuring smooth coordination between operational departments. The role supports event planning, reporting, and quotation preparation while providing administrative and commercial support to enhance service quality.

Key responsibilities

• Manage and update reservations and events in the Golden Sales & Catering system, including creating BEOs, blocking rooms, and conducting audits.
• Maintain organized sales and event records, delivering daily and monthly reports for tracking and closure.
• Coordinate communication and documentation between catering and operational teams, ensuring proper distribution of menus, quotes, contracts, and correspondence.
• Assist in organizing and monitoring events for clients and internal stakeholders, handling invitations, confirmations, and group status.
• Perform administrative tasks such as invoicing, inventory management, customer service, and presentation coordination, adhering to Four Seasons standards.

Required profile

• Professional or technologist degree in Business Administration, Economics, Tourism & Hospitality Management, International Business, or Social Communication.
• Minimum 1 year experience as an administrative assistant, sales coordinator, or executive assistant.
• Intermediate to advanced proficiency in Microsoft Office.
• Intermediate to advanced English language skills.

Required skills

• Experience with Golden Sales & Catering (GS&C) system.
• Knowledge of Opera property management system (desired).
