Patient Coordinator & Marketing Assistant

About the role

The position combines patient intake and sales with social media management for a fast‑growing mental health practice. You will be the first point of contact for prospective clients, qualifying leads and securing consultation appointments while also handling video content for the founder’s social channels during downtime.

Key responsibilities

• Conduct high‑empathy discovery calls, qualify inbound leads and close consultations, ensuring clients understand the practice’s value proposition.
• Manage and nurture a pipeline of 120‑130 leads per month using phone, email and GoHighLevel (CC360).
• Process upfront consultation fees and session payments, enforce booking protocols and protect revenue.
• Maintain provider calendars, book appointments according to strict rules and transfer intake data into the EMR system.
• Edit, caption and upload video content to Facebook and Instagram, and engage online conversations to drive acquisition.

Required profile

• 2‑3 years of experience in sales closing, high‑touch intake or consultative business development.
• Strong emotional intelligence with the ability to balance compassion and operational accountability.
• Neutral English accent suitable for US‑based clientele and excellent spoken English (C1 level).
• Comfortable discussing financial commitments and upfront fees without pressure.

Required skills

• Proficiency with GoHighLevel (or similar CRM pipeline software).
• Basic social media video editing, captioning and uploading.
• Knowledge of HIPAA regulations and handling of protected health information.
