Patient Coordinator / Practice Manager

About the role

The Patient Coordinator (also referred to as Practice Manager) is the first point of contact for individuals seeking mental‑health support at a fast‑growing private practice. You will represent the Discovery phase of the care model, ensuring prospects feel heard, informed, and ready to begin treatment.

Key responsibilities

• Manage a pipeline of roughly 120‑130 inbound leads each month via phone, email, and the GoHighLevel (CC360) platform.
• Respond to inquiries instantly to maintain zero lag time for patients seeking immediate care.
• Conduct high‑EQ discovery calls to qualify prospects, explain the practice’s evidence‑based approach, and outline financial commitments.
• Guide qualified patients through clinical intake, scheduling, and payment processes.
• Achieve the operational target of at least 10 successfully attended consultations per week.
• Maintain accurate records of interactions and update the CRM accordingly.
• Collaborate closely with clinicians to ensure a smooth hand‑off from discovery to treatment.

Required profile

• Fluent English with the ability to communicate exclusively in English throughout the shift.
• Exceptional emotional intelligence and empathy for individuals experiencing trauma, grief, or crisis.
• Strong accountability and ability to meet performance targets.
• Professional demeanor and excellent telephone etiquette.

Required skills

• Proficiency with GoHighLevel (CC360) or similar CRM platforms.
• Effective phone and email communication.
• Basic computer literacy for data entry and record‑keeping.

What we offer

• Full‑time schedule: Monday‑Friday, 9:00 am‑6:00 pm EST.
• Base salary of $1,800‑$2,000 per month.
