Patient Intake Coordinator (Virtual Assistant)

About the role

Barcelona Counseling, a small Oregon-certified mental health practice serving the Latinx and Hispanic community, is hiring a full-time, remote Patient Intake Coordinator based in Colombia. The coordinator manages patient intake, collects and verifies insurance details, handles billing and ensures excellent customer service during onboarding. The role works Monday to Friday from 9 AM to 6 PM Pacific (11 AM to 8 PM in Colombia) with a team based in Oregon.

Key responsibilities

• Manage patient intake processes and collect and verify insurance details.
• Handle billing and support patients remotely during onboarding.
• Serve as the main contact for potential and new clients, communicating clearly to schedule initial appointments and answer inquiries.
• Ensure smooth transitions to assigned therapists.

Required profile

• Bachelor's degree in Psychology, Social Work, Healthcare Administration or a related field is preferred.
• Previous experience in a mental health or healthcare setting is advantageous.
• Fluent in written and spoken English and Spanish.
• Must be LGBTQ+ friendly.

Required skills

• Experience in client intake and managing client data with attention to detail and confidentiality.
• Insurance verification and familiarity with health insurance policies and procedures.
• Proficiency with office and scheduling software; healthcare systems experience is a plus.
• Strong communication, customer service, time management and organizational skills.
