Practice Manager / New Patient Coordinator

About the role

The Practice Manager / New Patient Coordinator is the first point of contact for individuals seeking mental‑health support at a fast‑growing private psychiatry and counseling practice. You will guide prospects through the discovery phase, qualify their needs, and ensure a smooth transition into clinical care while maintaining a high‑trust, empathetic onboarding experience.

Key responsibilities

• Manage a pipeline of 120–130 inbound leads per month via phone, email, and the GoHighLevel CRM.
• Respond to inquiries instantly to eliminate wait times for prospective patients.
• Conduct high‑EQ discovery calls to qualify leads and explain the practice’s evidence‑based approach.
• Guide patients through intake forms, schedule initial appointments, and clarify financial commitments.
• Maintain accurate records in the CRM and track progress toward the target of 10 successfully attended consultations per week.
• Collaborate with clinicians and administrative staff to ensure seamless hand‑off from discovery to treatment.

Required profile

• Exceptional emotional intelligence and empathy for individuals experiencing trauma, grief, or crisis.
• Strong written and spoken English communication skills; the role is conducted entirely in English.
• Self‑motivated, accountable, and able to meet weekly performance targets.
• Professional demeanor with the ability to handle sensitive information confidentially.

Required skills

• Proficiency with the GoHighLevel (CC360) CRM platform.

What we offer

• Full‑time schedule: Monday‑Friday, 9:00 am‑6:00 pm EST.
• Base salary of $1,800‑$2,000 per month plus performance‑based commission.
