US Tax Operations Coordinator (Remote – Colombia)

About the role

We are seeking a highly organized US Tax Operations Coordinator to manage end‑to‑end tax workflow for our U.S.‑based practice. The role is fully remote from Colombia and aligns with U.S. business hours.

Key responsibilities

• Oversee the lifecycle of individual (1040) and business (1120, 1120S, 1065) tax returns in practice management systems such as Canopy, TaxDome or Karbon.
• Manage client document intake, verify completeness of PBC packages, and ensure all required forms (W‑2, 1099, K‑1, bank statements) are collected before assignment.
• Coordinate e‑file authorizations (Form 8879), track IRS and state e‑file acceptances/rejections, and handle extension filings for key deadlines.
• Allocate incoming files to preparers based on capacity, monitor turnaround times, and maintain service level agreements.
• Handle escalated client inquiries, schedule review meetings, and provide status updates and payment instructions.
• Maintain accurate client records, billing statuses, and communication logs across Google Workspace, RingCentral and tax software ecosystem.

Required profile

• 3+ years experience in US tax office coordination, tax operations or workflow management for a CPA firm, EA practice or accounting BPO.
• Fluent English (C1/C2) with strong written and verbal communication skills.
• Deep familiarity with US tax forms, season milestones and extension rules.

Required skills

• Practice management software: Canopy, TaxDome, Karbon or similar.
• Tax preparation platforms: Drake, Lacerte, ProConnect, UltraTax, CCH Axcess.
• Proficiency with Google Workspace and RingCentral for CRM hygiene.
