Event Coordinator

About the role

We are seeking a highly organized Event Coordinator to support the planning and execution of large‑scale internal events and conferences. The role is ideal for candidates with 1–2 years of experience who enjoy juggling multiple projects and collaborating with cross‑functional teams.

Key responsibilities

• Coordinate event registration, attendee management, travel logistics, and hotel accommodations.
• Manage event communications, including attendee emails, Slack updates, and registration support.
• Support speaker management by coordinating schedules, rehearsals, presentations, and event materials.
• Maintain and update event schedules, run‑of‑show documents, and planning trackers with high accuracy.
• Coordinate vendors, food & beverage services, onsite materials, and overall event logistics.
• Manage conference meeting schedules, calendar invitations, attendee tracking, and meeting documentation.
• Process vendor invoices, track event expenses, and assist with budget administration.
• Partner with internal stakeholders to ensure a seamless attendee and speaker experience before, during, and after events.

Required profile

• 1–2 years of experience in event coordination, conference support, marketing events, or a related field.
• B2‑C1 level English proficiency.
• Strong project management and organizational skills with exceptional attention to detail.
• Excellent written and verbal communication abilities.

Required skills

• Proficiency with Google Workspace (Docs, Sheets, Gmail, Calendar).
• Experience using Slack for team communication.
• Familiarity with event registration platforms such as Swoogo (a plus).
