Executive Assistant to the CEO
DISRUPTIA OFICIAL
Job description
About the role
Navi's founder and CEO receives more than a hundred emails a day and countless requests for her time. As her Executive Assistant, you will be her right hand and the first person she meets every day, protecting her time, making sure nothing important falls through the cracks and acting as the bridge between the CEO, the leadership team and people who want to work with Navi. The role suits someone calm, organized and warm, who brings clarity to a busy day and represents the CEO and Navi professionally.
Key responsibilities
- Inbox and priorities: manage the CEO's inbox through delegated access, flag what needs her attention and ensure no important email is missed; run a daily 8:00 AM check-in with the CEO on priorities, deadlines and context; draft emails in the CEO's voice, and later send them on her behalf once trust is established; follow the CEO's mentions and pending approvals in Asana.
- Calendar and scheduling: manage the CEO's calendar across time zones, prioritizing client visits and blocking days for quarterly priorities; coordinate logistics for conferences, panels, podcasts, award ceremonies and trips.
- First point of contact: take initial meetings with vendors, agencies and potential partners, route opportunities to the right person, and act as contact for scheduling and logistics with partners, media and award committees when the CEO is unavailable.
- Bridge the leadership team: keep information flowing between departments and coordinate with the operations leader while the CEO travels.
- Awards, media and records: support award nominations, speaking engagements and media requests, including bios and talking points; keep contracts, forms, certifications and the CEO's professional information up to date.
Required profile
- 1+ year of experience as an executive assistant supporting senior leaders.
- Professional English, written and spoken, with clarity and warmth in writing.
- Calm, organized communication style, leading with priorities and deadlines.
- Exceptional discretion with sensitive business and personal information.
- Availability 8:00 AM to 5:00 PM Arizona time, plus occasional chat availability for urgent questions.
- Reliable internet and a quiet, professional remote workspace.
Required skills
- Excellent calendar, inbox and scheduling management across time zones.
- Proficiency with Google Workspace, Asana and Slack.
- Professional presence on camera.
- Nice to have: experience supporting U.S.-based executives, background in healthcare or home care, podcast/event coordination, comfort with AI tools such as Claude, and light content support such as proofreading, Canva or presentation formatting.
