Remote Reservation Services Coordinator

About the role

Sweet Epic Travels is a boutique travel planning agency that creates personalized, end-to-end itineraries covering flights, accommodations, tours and local experiences, with a focus on Colombian coffee tours, Caribbean and Mexican all-inclusive resorts and cruise packages. It is hiring a full-time Remote Reservation Services Coordinator who manages and coordinates client reservations across flights, hotels, cruises, tours and related services.

Key responsibilities

• Communicate directly with clients to understand their preferences, confirm trip details and give timely updates on bookings and itinerary changes.
• Work with travel suppliers and partners to secure availability and negotiate options when needed.
• Ensure all reservations are accurate and aligned with client expectations.
• Use reservation systems and online booking tools, and maintain organized records.
• Troubleshoot issues such as schedule changes or cancellations.
• Deliver responsive customer service by email, phone and messaging platforms.
• Collaborate with the wider team to support smooth operations.

Required profile

• A high school diploma or equivalent is required; postsecondary education or certifications in travel, tourism or hospitality are a plus.
• Beneficial: prior experience in travel planning or hospitality.
• Ability to work independently in a remote environment.

Required skills

• Service coordination: managing multiple reservations and organizing itineraries.
• Interpersonal and communication skills, both written and verbal.
• Operations management: handling workflows, tracking bookings and keeping accurate records in reservation and CRM systems.
• Customer service: responsiveness, problem solving and a professional approach.
