About the role
The Hotel Partnerships Coordinator will support the annual contracting season for a Destination Management Company, ensuring hotel agreements are up‑to‑date and that the operations team has accurate booking instructions. This role blends contract administration, data management, and partner communication within a remote, international team.
Key responsibilities
- Collect, renew, and organize hotel agreements, rate sheets, addendums, and signed contracts.
- Track contract expirations, renewal deadlines, and missing information.
- Review agreements for NET rates, commissions, inclusions, blackout dates, and cancellation policies.
- Verify rates by comparing NET vs. BAR, confirming margins and correct setup.
- Assist with rate loads in SynXis, DerbySoft, or similar distribution platforms.
- Enter and maintain hotel data in Tourcube, ensuring clean, duplicate‑free records.
- Support data‑entry projects for rates, images, descriptions, taxes, and inclusions.
- Prepare internal presentations, property summaries, cheat sheets, and webinar materials.
- Update booking instructions and internal notes for the operations team.
Required profile
- C1 level English with strong written communication skills.
- Comfortable communicating with hotel partners via email and phone.
- Highly detail‑oriented when handling rates, contract terms, and booking instructions.
- Organized, able to manage trackers, folders, and deadlines.
- Collaborative and effective while working remotely with cross‑functional teams.
Required skills
- Advanced Excel and Google Sheets (VLOOKUP, Pivot Tables, IF formulas, INDEX/MATCH, filtering, sorting).
- Experience with Tourcube, CRM tools, SynXis, DerbySoft, and shared drives.
